Texas State Solo-Ensemble Contest

Dates

Due to 2020 UT commencement exercises being held on Memorial Day Weekend the 2020 state solo & ensemble contest will be held on May 30, May 31, and June 1.

The 2020 1A/2A/3A/4A Texas State Solo & Ensemble Contest (all events) will be held on Saturday, May 30 (Day 1), *Sunday, May 31 (Day 2), and Monday, June 1 (Day 3) at a site to be determined in the Austin area.

The 2020 5A/6A Contest (all events except percussion and twirling) will be held on Saturday, May 30 (Day 1), *Sunday, May 31 (Day 2), and Monday, June 1 (Day 3) at a site to be determined in the Austin area.

The 2020 5A/6A Percussion Contest will be held on Saturday, May 30 (Day 1), *Sunday, May 31 (Day 2), and Monday, June 1 (Day 3) at a site to be determined in the Austin area.

The 2020 5A/6A Twirling Contest will be held on Saturday, May 30 (Day 1), *Sunday, May 31 (Day 2), and Monday, June 1 (Day 3) at a site to be determined in the Austin area.

*A limited number of performance times will be available on Sunday afternoon (Day 2) on a first come-first served basis.  Be advised by choosing Sunday, woodwind, brass, and string soloists will be less likely to perform for a specialist on their instrument than they would by choosing Saturday or Monday.

Registration

Registration will be open for on-time entries from April 1 to April 15 at: http://www.texasmusicforms.com.  Account holders will sign in using their director login, then click on “TSSEC Enter Students” on the lower left side of the page and follow the instructions. Do not use Safari, as the system does not function correctly using this browser. We recommend using either Firefox or Google Chrome.  The registration system will be set according to the days below.  Be sure to choose the intended day, as this is the day entires will be scheduled, provided the day is still available when completing entries.

Day 1 Morning = Saturday, May 30, 2020 (8:30 AM 12:00 Noon)
Day 1 Afternoon = Saturday, May 30, 2020 (1:00 PM to 5:30 PM*)
Day 2 Afternoon = Sunday, May 31, 2020 (1:00 PM to 5:30 PM*)
Day 3 Morning = Monday, June 1, 2020 (8:30 AM to 12:00 Noon)
Day 3 Afternoon = Monday, June 1, 2020 (1:00 PM to 5:30 PM*)

*Be advised that occasionally a day may be extended beyond 5:30 PM to accommodate all performers within a division (band, choir, orchestra) from the same school that requested the same day and who met the April 15 deadline while a given day was still available.

WARNING!  Be advised that a given half day will be closed when capacity for that half day is reached for a division (band, choir, or orchestra).  Therefore, if having students perform on a specific half day is important entries should be submitted as early as possible in April.  Day closures can happen within the first few days of registration.

Choir, Band, and Orchestra Day Coordination:  If having students from a school in two or more divisions (band, choir, orchestra) perform on the same day is important please coordinate and plan to complete all entries in each division when registration opens.  Otherwise, one division's capacity could be reached.

Accompanists: The more students assigned to an accompanist, the more difficult it will be to schedule those students without causing logistical problems for the contest. Due to contest site locations this can be especially problematic if an accompanist is playing for any combination of band, choir, and orchestra students OR if an accompanist is playing for multiple schools. No accompanist should be assigned to more than twelve instrumental events in the morning and eighteen instrumental events in the afternoon.  No accompanist should be assigned to more than twenty vocal events in the morning and twenty-five vocal events in the afternoon. 

Keyboard Percussion Entries:  If more than one keyboard soloist will be sharing an instrument please place an instrument designation in the accompanist box to help avoid schedule conflicts.  For example, "marimba A", "marimba B", etc.

IMPORTANT: If a registration option reaches capacity before returning to complete entries the option of adding more events on that day will not be available.  

Fees & Deadlines

Fees:  $20 per solo and $10 per ensemble member.  Instructions on how to pay fees will be on the invoice. All fees are due upon submitting entries and credits are not issued if entries are cancelled, even if done so prior to the entry deadline.  In addition, all school music programs will be required to pay a license fee when registering students for TSSEC.  This license fee is assessed by Dorian Business Systems for the maintenance of the online registration and scheduling system.  For example, a school's band, choir, and orchestra program will each pay the license fee.  Account holders will be able to print their invoice at any time.

Entry Deadline:  April 15.  Account holders will still be able to access the system between April 16 and May 1 to submit LATE entries; however, note that late fees will apply, performances will be assigned to what day(s) is available, AND there will be no guarantee that any entry made after April 15 will be scheduled.

Late and Add-on Entry Deadline: May 1.  Entries made by a school's music program - band, choir, or orchestra - that did not submit any entries prior to April 15 are defined as late. Late entry fee: $20 per Event, which is in a addition to the on-time entry fees of $20 per solo and $10 per ensemble member.  Entries submitted by a school's music program - band, choir, or orchestra - that did submit some entries prior to April 15 are defined as add-ons. Add-on entry fee: $10 per event, which is in a addition to the on-time entry fees of $20 per solo and $10 per ensemble member. “Add-ons” should constitute no more than ten percent of the total number of entries for a band, choir, or orchestra program.  There is no guarantee that late entries or add-ons will be scheduled.

Cancellations (DNA’s), Ensemble Member Updates and Changes to Music Performed:  At any point after making initial entries, through Monday, May 18, account holders will be able to make these updates in the system by simply signing in to their account.

Schedule

Master Schedule:  Released by May 1.

Schedule Change Requests:  Granted on an as-available basis and accepted from the date of the release of the master schedule through Monday, May 18 by emailing music@uiltexas.org
